How do I complete the Form I-9?

When you get to the Form I-9 section of your onboarding in the Ascen platform, you will see the Form I-9 screen with the USCIS header.

This form is required by federal law for all employees in the U.S., including U.S. citizens. You must complete it before your first day of work for pay.


Section 1: Citizenship status

Under "Section 1," select the option that describes your status:

  • A citizen of the United States

  • A noncitizen national of the United States

  • A lawful permanent resident

  • An alien authorized to work

Select only one.

Document selection

Choose which documents you will use to verify your identity and work authorization. You have two options:

  • Option A: One List A document (covers both identity and employment authorization), or

  • Option B: One List B document (identity) AND one List C document (employment authorization).

Select the document type(s) from the corresponding dropdown(s). Do not select documents you don't physically have available.

Preparer / Translator

If someone helped you fill out this form, toggle on "Are you using a preparer or translator?" and enter their information. If you filled it out yourself, leave this off.

Signature

Complete the Signature section:

  1. Enter your first name, middle name (if applicable), and last name exactly as they appear in your documents.

  2. Select a security question and provide your answer.

  3. Read the attestation text carefully.

  4. Click SUBMIT.

By clicking Submit, you are legally attesting that all information in Section 1 is true and correct.

Authorized Representative (Section 2)

After submitting Section 1, you will be directed to assign an Authorized Representative. This is the person who will physically verify your identity documents on behalf of your employer, as required for Section 2 of the I-9.

Who is the Authorized Representative?
A trusted individual who will meet with you (in person or via video call) to review the original documents you selected in Section 1. This person does not need to be your employer or coworker. They simply act as a witness and verifier on behalf of the company.

What will they do?

  1. They receive an email from Ascen with login instructions.

  2. They meet with you (in person or via video) and you show them your original identity documents.

  3. They enter the document details (numbers, expiration dates, etc.) into the platform.

  4. They confirm that your first day of employment is correct.

  5. They sign Section 2 as the Authorized Representative.

Important notes:

  • The Authorized Representative cannot be you. Federal law requires this step to be completed by another person.

  • You may not start working until Form I-9 is fully completed.
